Hotel booking policy (up to 5 reservations)

Important: please be informed that hotel bookings through bnetwork online portal are exclusively for participants registered to UITP Global Public Transport Summit.

Please notice that the cancellation policy applies in accordance with the amount of rooms booked. In case of allotment modification, the corresponding cancellation policy is applicable.

Payment policy:
Upon acknowledgement of booking, a deposit corresponding to the total cost of your reservation is requested to secure your hotel reservation.
Further addittional booking(s) or room nights, must be paid in the moment of making the reservation. Bookings without payment will not be confirmed.
The final invoice will be issued and provided by the hotel upon check-out, so please remember to request it at the reception before departure.

Cancellation policy (up to 5 bookings):
From confirmation of booking until January 8th 2026, in case of cancellation of reservation(s), the participant will be charged a 10% administrative fee corresponding to the total cost of your reservation(s).

Between January 9th and February 12th 2026, In case of cancellation of reservation or reduction of stay, the participant will be charged 50% of the total cost of the cancelled nights.

Between February 13th and March 12th 2026, In case of cancellation of reservation or reduction of stay, the participant will be charged 80% of the total cost of the cancelled nights.

From March 13th 2026, all reservations are 100% non-refundable. This includes cancellation and shortening of stay. 100% non-refundable cancellation fee will be applied.

NOTE: Due to hotels’ non-refundable cancellation policy, switching between hotels is not permitted once booked.

Cancellations shall be communicated to bnetwork in writing via email at the following address: uitphotels@bnetwork.com. Penalties may apply based upon cancellation policy. Telephone cancellations are not accepted as valid.

Reservation modification changes: all reservation modifications can be made through the website "My account" function at https://uitphotels.bnetwork.com or in writing via email. If emailing, please include your unique reservation code. Subject to availability, changes will be confirmed by bnetwork within 24 hours Monday through Friday 9:00 AM to 6:00 PM CET (Central European Time).

Personal information protection: bnetwork complies with applicable data protection laws and regulations regarding collection, use, transfer, disclosure, retention, security, and destruction of “personal information” (P.I.) and “personally identifiable information”). Bnetwork will only use P.I. that is provided by the company or directly by an individual solely to the extent necessary to perform its obligations under this contract. bnetwork shall not employ the P.I. for b network’s own purposes nor for the purposes of third parties. bnetwork shall not transfer data or P.I. to any third parties, except upon prior written approval of the company. By signing this contract, you confirm that you are entitled and have corresponding approval to disclose on behalf of a third-party data

Hotel booking policy (from 6 bookings)

Payment policy

Upon confirmation, a deposit corresponding to 50% of the total cost of your night by night allotment is requested to secure your hotel allotment.

By December 10th 2025, an additional 50% deposit is requested, for a total amounting to 100% of the total cost of your night by night allotment, including the tourist local tax.

Failure to pay the remaining 50% deposit by December 10th 2025, will result in cancellation of reservation and forfeiture of all deposits paid.

After this date any additional room night requested must be paid at the same time of booking. Bookings without payment will not be confirmed.

We kindly inform you that the final invoice will be issued and provided by the hotel through bnetwork.

Cancellation policy

From confirmation until January 5th 2026, in case of full cancellation of the pre-booked allotment per hotel, you are committed to pay 10% of the deposit paid as administrative cancellation fees penalty. Partial cancellation is allowed without penalty.

Between January 6th and February 12th 2026, 50% per night, hotel and room category of the current allotment can be cancelled without penalty. Any cancelled room nights exceeding the permitted percentage, will be charged in full.

Between February 13th and March 12th 2026, 25% per night, hotel and room category of the current allotment can be cancelled without penalty. Any cancelled room nights exceeding the permitted percentage, will be charged in full.

From March 13th 2026, 100% of the night by night allotment is due in case of cancellation or reduction. We regret that no refund can be made.
